Compare weekly use with outdoor events
Morning arrival, courtyard gatherings, children’s programs and afternoon events can occupy different places and hours. Identify the activity and useful shade period before choosing one geometry to serve every occasion.
Preserve entrances, accessible routes and vehicle/service movements. Existing walls or covered structures can be part of the assessment, but their connection suitability must be reviewed.

Make the approval path clear
Identify the person or group making design, funding and color decisions and whether an architect or facilities team is involved. Agree work-zone access, closures and restoration around the program calendar. Bring available plans and records so the provider is working from the current property layout.

Clear answers
Questions before the next step.
Can an existing installation be improved?
The provider publishes repair, replacement and suitable existing-structure improvements. A condition and coverage review should determine the appropriate scope.
Can an initial concept be used for committee review?
Discuss the agreed design/shade-study deliverables with the provider. A concept can communicate the direction, but it should not be mistaken for the complete engineering or construction scope.
Should shade for a gathering area be the same as play-area shade?
Not automatically. Occupied footprints, supervision and operating requirements can differ, so define each target.
